What is the Early Bird registration deadline?
The early bird rate of USD 320 applies to all registrations completed on or before 31 August 2026. After this date, the registration fee increases to USD 375. We strongly encourage early registration to save on costs.
How do I apply for a scholarship?
Two pathways: (1) Submit a qualifying abstract by 30 June 2026 β€” the 30 best-selected abstracts (15 oral + 10 poster + 5 video) each receive a scholarship at USD 125. (2) Apply directly for the LMIC/medical student scholarship by emailing wcyns2026@gmail.com β€” 30 additional scholarships are available for delegates from low- and middle-income countries and medical students.
What is the cancellation and refund policy?
Full refund (minus handling charges) for cancellations on or before 30 June 2026. 50% refund for cancellations between 1 July and 31 August 2026. No refund for cancellations after 31 August 2026 or for no-shows. All refunds are processed after the congress concludes. Submit cancellation requests to wcyns2026@gmail.com.
What payment methods are accepted?
All major credit and debit cards are accepted via Stripe's secure checkout platform β€” Visa, Mastercard, and American Express. Bank transfer is available for group registrations of 5 or more delegates. Contact wcyns2026@gmail.com for group booking arrangements.
Can I obtain a visa invitation letter?
Yes. Upon completing congress registration and payment, registered delegates may request an official congress invitation letter from the secretariat to support their visa application. Email wcyns2026@gmail.com with your registration confirmation number to request this letter.
Is CME/CPD accreditation available?
We are actively applying for CME/CPD accreditation. Confirmed credits and accrediting bodies will be announced on this website before the congress. All registered delegates who attend the congress will receive a digital e-certificate of attendance.
What is the abstract submission deadline?
The deadline for all abstract submissions (oral, poster, and video) is 30 June 2026. Notifications of acceptance will be sent by 31 July 2026. Congress registration is required before abstract submission. The online portal will be announced when it opens.
How do I register for workshops?
Pre-congress hands-on workshops on 30 October 2026 are included in the congress registration fee but require separate pre-registration due to strictly limited capacity (20 participants per workshop). Instructions for workshop pre-registration will be sent to all registered delegates. First come, first served.
Do I need a visa to enter Hong Kong?
Nationals of many countries enjoy visa-free access to Hong Kong SAR, China, for up to 90 days. Please check the latest entry requirements with the Hong Kong Immigration Department website or your local embassy well in advance. An official congress invitation letter is available upon request (see above).
Is the congress suitable for medical students?
Absolutely. Medical students with an interest in neurosurgery are warmly welcome at 4WCYNS 2026. The scholarship programme includes 30 awards specifically available for LMIC delegates and medical students. Contact wcyns2026@gmail.com to enquire about the scholarship application process.
What does registration include?
All registrations include: access to all plenary and parallel scientific sessions, hands-on workshops (subject to pre-registration), congress bag and printed materials, digital e-certificate of attendance, opening reception, and access to the poster and exhibition area throughout the congress.
Where can I find accommodation?
The nearest hotels are Crowne Plaza Hong Kong Kowloon East (5β˜…, ~10 min walk) and Hyatt Place Tseung Kwan O (4β˜…, ~10 min). Congress preferential rates are being negotiated and will be published on the venue page. Visit the Venue page for full accommodation recommendations and booking guidance.
